Working Hours:

Summary:
Serves as primary administrative support person for the Senior Vice President of Finance and Administrative Services / Treasurer (SVP F&A) and performs administrative, secretarial and receptionist and related duties.
First Year Critical Success Factors:
- Submit HEOA on a timely basis
- Coordinate the process of insurance applications from information gathering through submission
- Coordinate monthly board packet information for President’s Office
Essential Duties and Responsibilities:
- Serve as the primary administrative support person for the SVP F&A by assisting in maintaining office and individual calendars, scheduling appointments, preparing correspondence, (letters, memorandums, reports, emails and faxes), answering and screening telephone calls, maintaining office files, gathering and compiling information, proofreading, ensuring general organization of the office and other administrative functions while maintaining confidentiality
- Coordinate and prepare of information for the Board packet and general board correspondence from various areas under the SVP F&A for the Board packet within established timeframes
- Work with the VP of Fiscal and Human Resources to ensure compliance including requests for information from management and reporting relative to the Higher Education Opportunity Act
- Coordinate annual applications for various insurance companies via employees at RACC and the insurance broker. Work with the broker to ensure timely communication of claim or other information and issuance of Certificates of Insurance from various areas of the College (ie. clinical sites)
- Assist VP of Fiscal and Human Resources as needed
- Order and maintain supplies and arrange for equipment maintenance when needed
- Other related clerical duties as assigned

Education and/or Experience:
Required:
- High School Diploma
- Minimum of three (3) years related secretarial and/or administrative support work
Preferred:
- Associates Degree or equivalent degree
Computer Skills:
To perform this job successfully, an individual must have a strong working knowledge of Internet software; Microsoft Office software including Outlook, spreadsheet and word processing. Must possess or learn electronic file management and integration of MS-Office software including being able to copy and paste between applications. Must be willing to learn and capable of learning new technologies, systems and electronic media required in the completion of assigned job responsibilities as needed.

• The ability to work in a fast-paced environment is a necessity.
• Must be highly detail oriented with excellent organizational skills and the ability to multi-task.

Ability to read and comprehend instructions, short correspondence, and memos and write correspondence. Ability to effectively present information in one-on-one and small group situations to administrators, board members, visitors and other employees of the organization.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
