Summary:
The Manager of Foundation is responsible for planning and executing fundraising and public relations activities and events to inspire, cultivate and steward financial and community support of the College and the Reading Area Community College Foundation. This position both supports and reports directly to the VP for College Advancement / Executive Director of the Foundation / Executive Director of the Miller Center and supervises the Foundation Accountant and Advancement Database Coordinator positions. This is a high-visibility position that requires the ability to effectively interact with major donors, elected officials and prominent members of the community with significant consequences to RACC’s public image and the Foundation’s ability to raise funds on behalf of the College.
First Year Critical Success Factors:
• Generate $25,000-$50,000 in philanthropic support
• Secure 25-50 appointments for VP for College Advancement / Executive Director of the Foundation / Executive Director of The Miller Center and College President with unaffiliated business leaders or philanthropists
Essential Duties and Responsibilities:
- Develop procedures for and manage a variety of business functions such as foundation budget planning, bookkeeping, information management, filing systems, requisition of supplies, and other office functions.
- Develop and enforce uniform office procedures for gift processing, special event management, and board operations.
- Prepare financial and activity reports for management, the Foundation Board and RACC.
- Develop and maintain professional relationships with donors, alumni, community members and outside vendors.
- Manage and officiate Foundation Board meetings and related committees including scheduling meetings, preparation of agendas, meeting minutes, and related tasks. Encourage participation at meetings and regularly encourage donations.
- Organize and coordinate special events related to fundraising and other functions of the Foundation. This includes pricing and arranging outside vendors, negotiating contracts, coordinating campus services, managing attendee lists, developing and maintaining budgets and providing day of event coordination. Assigns attendees at their respective tables with social cohesion in mind at functions/events.
- Maintain and assist in planning master calendar for department staff and scheduling meetings, including but not limited to Foundation and other special events. Responsible for meeting logistics and distribution of appropriate correspondence to notify participants.
- Oversee the Advancement Database Coordinator whose job it is to maintain the Foundation database, including recording, processing and tracking of donors and their gifts to the College, as well as assisting in procuring and maintaining prospective donor information.
- Prepare well thought out “thank you” letters to donors that have a personal touch, inspiring the donors to make future gifts.
- Oversee the Foundation Accountant whose job it is to record, deposit and assist in determining appropriate designation of Foundation gifts as needed.
- Create and maintain a master file system for all Foundation correspondence including but not limited to Alumni, Committees, Cultural Series, and other fundraising or special events.
- Prepare Foundation and Alumni mailings which support special events and fundraising projects, including, but not limited to annual and capital campaigns, and supports the President’s office with communications and maintenance of the database for President’s office communications.
- Serve as recording secretary at Foundation Board and Committee meetings, attend other meetings as requested on behalf of executive director, and act on behalf of the VP For College Advancement / Executive Director of the Foundation / Executive Director of The Miller Center as requested.
- Perform other related duties as assigned including directing any part-time staff, work study students and temporary personnel in completing assigned tasks.
Supervisory Responsibilities:
Directly supervises assigned employees in the Office of College Advancement. Carries out supervisory responsibilities in accordance with the organization's policies, collective bargaining agreements and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience:
Required
- Bachelor’s degree from a regionally accredited institution of higher learning
- One year of full-time, professional related experience in fundraising and/or planning and executing special events
- Working knowledge of general accounting principles
- Must be proficient in the use of Database software; Internet software; Spreadsheet software and Word Processing software
Preferred
- Bachelor’s degree or higher in Business, Accounting, Public Relations or related
- Knowledge of fundraising software and donor data base management experience
- Community College Experience
- Bi-lingual English/Spanish
- Supervisory Experience
Communication Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, donors, potential donors, customers, and the general public.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge of accounting software. Must be proficient in the use of database software; internet software; spreadsheet software and word processing software.
Other Skills and Abilities:
- Ability to assist in crafting Alumni and Community Appeal letters that will resonate with donors and lift the prospect to make the gift
- Ability to effectively work with major donors, elected officials and prominent member of the community with significant consequences to RACC’s public image and the Foundation’s ability to raise funds on behalf of the College
- Persuasive ability, charismatic, willingness and self-confidence to be successful in conducting solicitations
- High degree of judgment in developing correspondence, events and other modes of outreach that represent the College and the Foundation in the best possible light
- Must possess excellent written and oral communications skills
- Must have excellent team work skills; excellent analytical, problem-solving and project management skills
- Must be able to work alone as well as in a collaborative environment; ability to work in a higher education environment and work with students, faculty, staff, and administration as well as board members, volunteers and with outside consultants
- Be open to change and new methods in the assigned area of responsibility
